1) Booking and confirmation
A booking is confirmed once you have replied in writing to accept the details set out in your booking confirmation email. Replying to accept means you agree to these terms.
2) Payment
Payment is due in full in advance of the workshop. An invoice will be issued and provided in your booking confirmation email. Payment is due in full within 5 working days of receiving the invoice, and in all cases before the workshop takes place.
Alternative payment terms are available for organisations with established finance procedures, where Everyday OT is set up as an approved supplier. These must be agreed with us in writing before the booking is confirmed.
3) Fees and travel
The workshop fee is set out in your booking confirmation email. Travel is charged at €0.52 per kilometre plus €50 per hour of travel time, and is included in your quoted fee unless we tell you otherwise.
4) Participant numbers
Workshop fees are based on up to 50 participants. If you expect more than 50, please let us know in advance so we can discuss it. Larger groups may need an adjusted fee or a different format.
5) Cancellation by you
- 14 days or more before the workshop: full refund, or reschedule to another date at no charge
- 7 to 13 days before: 50% of the fee is retained
- Less than 7 days before: the full fee is retained
Any travel or accommodation we have already booked and cannot recover is charged in full, whatever notice is given
We would always rather reschedule than cancel. If you are cancelling within 7 days we will offer you one alternative date at no extra charge where we possibly can.
6) Closures and events outside your control
If the school/organisation building is closed on the day of the workshop for a reason outside your control (for example, severe weather, a public health closure, or a Department directive) we will reschedule to a mutually suitable date at no extra charge. Any travel or accommodation costs we have already paid and cannot recover will still be charged.
7) Cancellation by us
In the unlikely event that we have to cancel (for example, through illness) we will offer you an alternative date. If a suitable date cannot be found, we will refund your fee in full.
8) Equipment and venue
It is the organiser's responsibility to make sure everything needed for the session is available and set up before we arrive, including a projector, screen, and any leads or adapters needed to connect a laptop. Please let us know in advance if there is anything you are unsure about.
9) Changes to the booking
Please let us know as far in advance as possible about any change to the date, time, or venue.
10) Facilitator
Workshops are delivered by a member of the Everyday OT team. We will confirm who is facilitating your session, and we reserve the right to substitute an equally qualified facilitator if we need to.
11) Recording and photography
No recording of the session — audio or video — is permitted without our prior written consent.
12) Responsibility and insurance
The event organiser or venue is responsible for the safety and suitability of the premises, and for the supervision and wellbeing of everyone attending.
Everyday OT holds professional indemnity and public liability insurance, and remains responsible for its own acts and omissions in delivering the workshop. Nothing in these terms limits liability where it cannot lawfully be limited.
